Missed Calls Messaging

Missed Calls Messaging is a feature that automatically sends a response when an incoming call is not answered. This tutorial will guide you through setting up Missed Calls Messaging and explore some common use cases.

Some use cases for Missed Calls Messaging include: 1. Sending an auto-reply SMS with business hours and website link when a call is missed after hours 2. Providing an alternate contact method, like an email address, if the call isn't answered 3. Requesting the caller leave a voicemail or send a text message instead 4. Sending a coupon code or special offer to missed callers as an incentive to call back 5. Letting callers know of current high call volumes or long wait times and providing an estimated callback time

Set the Times/Day to specify how many times per day the missed call message should be sent to the same number. The default is 5. Set the Frequency Interval to determine how many missed calls should occur before the message is sent. An interval of 1 means the message is sent after every single missed call. An interval of 2 sends the message after every 2 missed calls, and so on.

Send From: Choose a number to send the missed call messages from the pulldown menu. Incoming Calls (When Busy): Settings: Hold: When this option is selected and the extension is busy or unavailable, incoming callers will be put on hold and hear hold music until the extension becomes available. This is useful if you want callers to wait for the next available representative without hanging up. Forward to AI: This option routes incoming calls to an AI-powered system when the extension is busy. The AI can interact with the caller, provide information, answer common questions, or even take messages. This helps manage high call volumes, reduces wait times, and provides 24/7 availability for callers. Decline: If this option is chosen, incoming calls will be declined when the extension is busy. The caller will likely hear a busy tone or be disconnected. This is not ideal for customer service but can be appropriate in certain scenarios where you don't want callers waiting or leaving messages, such as for personal or confidential extensions.

Outbound Call Feature

The Outbound Call feature in the Missed Calls Messaging system allows you to configure automated responses for outgoing calls that are not answered. This is separate from the Inbound Call feature, which handles missed incoming calls to your extensions or IVR system.

To set up Outbound Call messaging, you would configure settings similar to the Inbound Call feature, such as the number of times per day to send messages, the frequency interval, send from number, message templates, and channels (SMS, MMS, voice, email).
